TESTING AND LEARNING — Testing/Learning claim: GRE 8220 / Write Off / RO 11017B. WHY UNPAID: PA803178 approved jobs 2–7 on August 27, 2024, but claim880773 was submitted March 13, 2025 with completion recorded August 23, 2024. GD denied payment under its stated 30-day claim-submission rule. Reopening the expired PA on March 12 did not waive that deadline. Job 1 was a separate scope denial: GD said these were the correct entrance steps, so replacement was not approved. WHAT COULD HAVE BEEN DONE DIFFERENTLY: close each completed approved repair with the dated invoice, actual technician time, parts/freight documentation and submission receipt before the deadline. Track approved-but-unbilled work. If completion was delayed or entered incorrectly, preserve the true per-job dates and obtain a written disposition—never backdate. The actuator invoice shows shipment after the claim's August 23 completion date, so its actual installation/test date needs reconciliation. Seek approval for extra labor before billing beyond the allowed scope; job7 received 0.5 hour versus 2.5 requested. MONEY: the final RO totals $1,098.97 ($402.50 labor + $663.47 actuator + $33 freight). The denied claim totals only $276 labor: steps are absent, actuator quantity is 1 but its amount is $0, and shipping is $0. Labor hours also differ from the RO. The $543.36 supplier invoice/payment-credit entry is not proof of OEM warranty reimbursement. Reconcile these differences before assigning the exact write-off or recovery amount. Per the owner this claim is unpaid and written off. Lesson: preauthorization must lead to timely, complete and accurately reconciled billing; reopening a PA alone does not protect payment. @Chris B @Heidi H @Tricia H
